Finance Administration Specialist- Denver, CO

The Accounting and Administrative Assistant position is intended to provide support for the Finance Controller. The key responsibilities for each of these major roles are outlined below.

Basic Finance and Accounting Functions and Requirements:

  • Assist with Accounts Receivable

  • Assist with Collections coordination

  • Manage Accounts Payable

  • Assist with Bank Reconciliations

  • Assist with Colorado Sales Tax filing (quarterly)

  • Assist with Tax Reporting for other states (timing varies)

  • Manage vendor insurance certificates

  • Assist with semi-monthly payroll processing

  • Assist with monthly and annual 401K Reporting

  • Assist with Worker’s Compensation audits

  • Manage Expense report reconciliations, enter monthly expense reports for key Executives

  • Other duties as assigned by manager

HR/ Benefits Fucntions and Responsibilities:

  • Manage PTO reconciliations

  • Review Timecard processing

  • Insurance: provide assistance as assigned

  • Prepare open enrollment benefit packets

  • Manage personnel files

  • New Employee Orientation backup: prepare, record, and file required employment documentation. Meet with new employee to explain HR/Payroll policies and procedures

  • Other duties as assigned by manager

Project Cost Management Fucntions and Responsibilities:

  • Create new projects in the company accounting program

  • Load budgets and resources into accounting system

  • Work with project team to issue subcontractor Purchase Orders

  • Prepare and review monthly job cost reports with project team as needed

  • Prepare project invoices and Pay applications for PM approval

  • Other duties as assigned by manager

Other Responsibilities

  • Office supply ordering/stocking

  • Maintenance and renewal for contractor and architect licenses and certifications

  • Other duties as assigned by manager

Skills, Abilities, and Requirements including but not limited to:

  • Knowledge of computerized accounting systems (Deltek Ajera preferred by not required)

  • Proficiency in Microsoft Excel

  • Familiarity with Microsoft Office Suite

  • Detail Oriented

  • Motivated by achievement
